    Senior Program Support Officer

    Reporting Manager           :     Deputy Head of TF Program (Direct)

    Location Base                      :     Jakarta

    Development Plan            :     1.   Mentorship by Deputy Head of TF Program

                                                            2.  Career mobility within RGE Group.

    Key Responsibilities:

    A.      Program Administration:

    1.       Perform administrative functions related to program activities in accordance with approved work plan.

    2.       Verify financial project documents submitted by regional offices and ensure their compliance to standard operating procedures for finance and administration to enable timely completion of all planned  project activities (training, constructions, and procurement)

    3.       Monitor financial project transactions of regional offices from their initiation, execution, to settlement for internal control purpose

    4.       Organize program meetings or workshops, including preparing logistic, circulating meeting agenda and administration of meeting notes.

    5.       Maintain a calendar activity of each program and coordinate with Communication Units for particular events.

    6.       Work with Purchasing Officer to handle procurement of program including on-time submission of purchase request, delivery of program materials and maintain inventory record.

    7.       Maintain program files both electronic and physical documentation as appropriate.

    8.       Performs other duties as assigned by Supervisor and to ensure the smooth functioning of the program administration.

    B.      Finance and Reporting:

    1.       Provide analysis on project expenditure against budget statement on regular basis and other type of report as needed.

    2.       Support development of annual budget, and monthly cash flow projection

    3.       Manage log book on the financial documentation cycle and provide feedback to relevant managers

    Qualifications:

    1.       University degree from reputable university;

    2.       At least 7 (seven) years working experience in administration affairs;

    3.       Good ability to communicate in English, both spoken and in writing;

    4.       Proficient in MS-Office applications;

    5.       Demonstrated ability to meet set targets and to work independently;

    6.       Trustworthy, attention to detail with high degree of accuracy and organized in work;

    7.       Ability to work cooperatively and collaboratively with all levels of employees and external parties.

    Kementerian Luar Negeri RI kembali bekerja sama dengan Sekretariat PBB dalam menggelar rekrutmen bagi Warga Negara Indonesia (WNI) yang berminat membangun karir sebagai pegawai internasional PBB melalui skema rekrutmen United Nations Young Professionals Programme (YPP) 2016. Program ini bertujuan untuk merekrut kalangan muda di negara-negara anggota PBB yang jumlah warga negaranya yang bekerja di Sekretariat PBB masih sedikit (underepresented), untuk bergabung sebagai staf Profesional PBB pada level P-1 atau P-2.

    Indonesia turut berpartisipasi pada program ini karena saat ini masih sangat sedikit jumlah WNI yang bekerja di PBB. Untuk itu, Kementerian Luar Negeri RI mendorong kalangan muda Indonesia yang memenuhi persyaratan umum yang diminta, yaitu: berusia maksimal 32 tahun, memiliki ijazah minimal Strata-1 (S-1) yang relevan dengan bidang pekerjaan yang dibuka, dan mampu berbahasa Inggris atau Perancis dengan baik, untuk ikut melamar pada bidang kerja yang tersedia. Program UN YPP tidak mensyaratkan pengalaman kerja, sehingga kesempatan ini juga terbuka bagi para fresh graduates.

    Pada UN YPP 2016, terdapat 2 (dua) bidang kerja yang dibuka yang masing-masing periode pendaftarannya adalah sebagai berikut.
    19 Mei s/d 19 Juli 2016 untuk bidang kerja Information and Telecommunications Technology;
    19 Mei s/d 19 Juli 2016 untuk bidang kerja Economic Affairs (and Sustainable Development);
    Pendaftaran dilakukan secara online melalui situs DISINI dan seluruh waktu pendaftaran ditutup pada pukul 23.59 waktu New York, AS. Perlu diperhatikan juga bahwa bidang kerja dan waktu pendaftaran dapat berubah sewaktu-waktu bergantung pada keputusan Sekretariat PBB. Oleh karena itu, disarankan agar terus memantau informasi terkini melalui situs INI, melalui INI pada kolom Karir dan Beasiswa.

    Penyaringan peserta dilakukan sepenuhnya oleh Sekretariat PBB berdasarkan aplikasi yang diterima secara online. Proses seleksi dilakukan dalam 3 tahap, yaitu seleksi administrasi, ujian tertulis, dan wawancara.

    Sebagai informasi, pada tahun 2015 hanya 81 WNI yang tercatat menjadi staf Profesional (yang direkrut secara internasional) pada Sekretariat PBB. Jumlah tersebut sangat kecil jika dibandingkan dengan jumlah penduduk Indonesia yang mencapai lebih dari 240 juta orang. Jumlah tersebut juga masih lebih kecil dibandingkan Nepal (negara dengan jumlah penduduk +/- 27 juta jiwa) yang memiliki 165 staf profesional pada Sekretariat PBB, dan juga Filipina (negara dengan jumlah penduduk +/- 99 juta jiwa) yang memiliki 773 staf profesional pada Sekretariat PBB.

    Indonesia bukan untuk pertama kalinya berpartisipasi pada UN YPP. Indonesia telah berpartisipasi setiap tahun sejak 2012. Sejauh ini, sebanyak 10 WNI telah diterima bekerja sebagai staf profesional di Sekretariat PBB melalui skema UN YPP. Seleksi tahun 2015 masih berlangsung, sehingga hasilnya belum diperoleh.
